Request NSPE Officer or Staff Participation at Your Event
As part of NSPE’s ongoing commitment to strong partnerships with state societies, we offer the opportunity for a national officer or senior staff member to attend one major event per state society each year. This includes both virtual and in-person engagements, such as ethics presentations or keynote sessions.
All state societies are eligible—regardless of affiliation type or tier—to request participation and benefit from NSPE leadership's insights and support.
It is recommended that you read the guidelines and funding information below prior to submitting your event. Once information on an upcoming meeting is received, a staff member will follow up to seek additional event details and confirm participation.

Interested in scheduling a visit or presentation? Complete our event submission form at least three months in advance of the planned event in order to facilitate and schedule an NSPE officer or staff person’s visit.
Event Planning Guidelines
When planning the event, please keep in mind the type of NSPE participation that would be most beneficial to participants. The role of the visiting officer should be substantive. When possible, it is requested that meeting events, where a national representative’s participation could add value to the collaboration, be scheduled as close together as possible, to maximize the visit and minimize travel costs, volunteer time, and resources. (For example, meetings that stretch over multiple days, with critical events on the first and last day, and with little or no meaningful opportunities for productive engagement in between, increase time demands and costs for both NSPE and the state society.)
Traditionally, NSPE Officers and representatives have been included in such events as
- executive committee and/or board meetings
- addressing meeting attendees in formal business meetings and convention general sessions
- installing state society officers, awards ceremonies
- Order of the Engineer inductions and newly licensed P.E. recognitions
- Optional: Leading an educational session as part of the general program. Available topics are described in the submission form.
NSPE makes every effort to cover as many states as possible each year. However, schedule conflicts and budgetary limitations sometimes preclude attending events.
Travel Funding Information
NSPE and State Society Cost Sharing
When submitting meeting information, please keep in mind that the service/capacity tier determines the level of travel support and cost-sharing obligations between NSPE and your state society.
- For Full Service/Premium Service States: NSPE will pay all allowable expenses.
- For Standard Service States: NSPE will pay 50% of all allowable expenses, and the State Society will pay the remaining 50%.
- For Basic Service States: NSPE will pay 30% of all allowable expenses, and the State Society will pay the remaining 70%.
- For Non-Integrated Affiliated State Partners: The state society requesting an official NSPE representative and/or speaker will be expected to pay all transportation costs, including cost of round-trip coach air travel or equivalent and travel between terminals and hotels, and the costs of meeting registration, food, and lodging. NSPE reserves the right to send representatives, at its own expense, to meetings where a Non-Integrated Affiliated State Partner chooses not to provide for an official representative and will provide advance notice to and coordinate with the partner in making such arrangements.

Allowable Expenses
Allowable expenses for travel are defined as:
- Air transportation
- Automobile—IRS allowable rate at the time of travel
- Local transportation from residence or workplace to departing airport
- Airport/Hotel—Local Transportation—Reasonable transportation to and from airport/hotel. No per diem for days of travel
- Parking at locations required by business of trip.
- Lodging
- Meals
